Position Summary:

As Payroll Specialist, you will be a critical member of the Finance team, reporting to the AVP, Controller. You will be accountable for ensuring semi-monthly and bi-weekly pay runs are submitted on time and accurately. You will also be responsible for our payroll operations and ensuring we are following payroll best practices to run payroll efficiently and in compliance with payroll laws.

In this role, you will:

  • Act as an intermediary between Finance and People team
  • Managing the payroll for US employees on a semi-monthly and bi-weekly periods:
    • Process payroll for all employees
    • Process special runs as needed
    • Process adjustments, special payments and garnishments as needed
    • Responding to any employee queries as required
    • Ensuring required tax or other payroll related forms are completed properly and on time by new employees
    • Ensuring 401(k) plan contributions by employees and company match are complete and accurate
    • Track bonus and commission plans to ensure no required payments are missed
  • Ensuring we are compliant with payroll laws and best practices in the US:
    • Manage terminations:
      • Calculate severance payments, research state severance payment nuances and input updates in Paychex
      • Update email address, contact info for final documents
    • Ensure adherence to payroll legislation when new employees join in other states (i.e. US state registrations)
    • Always be up to date with current laws and impending changes
    • Assist People Team in managing leaves as required
  • Assisting the League accounting team with payroll reconciliations each pay period and any ad hoc payroll reporting as required
  • Manage year end payroll procedures:
    • W2’s
    • 1099’s
    • 1095’s
    • Form 3291
    • Closing out payroll
    • Imputed income calculations on Life Insurance benefits
  • Maintain payroll software, including assisting with implementation of new systems as required:
    • Ensuring payroll system data is in line with HRIS
    • maintain correct coding set-up,
    • deductions,
    • fix any on-going issues with PayChex set-up / errors

About you:

  • 3+ years experience running payroll for company with 300+ employees
  • Experience with US payroll
