ADMINISTRATIVE ASSISTANT-Accounting Background
Administrative Assistant will support the CEO, project manager, and field staff through the execution of a variety of administrative functions as they relate to plumbing, construction, and development to ensure the smooth operation of the department. Activities include handling communications, compiling data, preparing reports, contract documents, accounts payable/receivable, record maintenance and acting as a department liaison.
Essential Functions:
- Provide administrative support and assistance to CEO and field staff. Coordinate and prioritize those tasks to ensure timely completion.
- Collect and review subcontractor documents including certified payroll reports, contracts, change orders, billings and other required information.
- Collect start up documents for new projects including all required billing documents from GC
- Varied HR tasks, as needed.
- Work closely with Staff Accountant to oversee books.
- AP/AR and reporting using QuickBooks software.
- Prepare, compose, update, monitor and edit a variety of internal and external correspondence, forms, reports, contract documents, qualification statements and project schedules.
- Liaison for department in handling subcontractor and vendor relations.
- Tracks safety meetings and ensures the projects are OSHA complaint.
- Responsible for weekly reporting coordination from job sites.
- Prepare all Subcontracts and Purchase Orders and distribute for full execution.
- Ensure subcontractors and suppliers provide all required certificates, lien waivers, disclaimers etc.
- Follow-up on Subcontracts and Purchase Orders and track status.
- Perform all activities required in the Change Order Process.
- Assist in preparing closeout documents.
Position Requirements:
- Must possess strong computer capabilities with knowledge of QuickBooks, MS Excel, Word and Outlook
- High-level administrative support experience, preferably in the construction industry, or related experience
- Must be detail oriented and able to perform under pressure and meet deadlines
- Able to deal with multiple tasks simultaneously and must be flexible to changing priorities
- Must be self-motivated and able to work well alone or with others
