About Us


The School of Modern Languages (www.modlangs.gatech.edu) emphasizes interactive learning and interdisciplinary study of languages and cultures. We offer an innovative B.S. degree in Applied Languages and Intercultural Studies (ALIS) as well as joint bachelor degrees in Global Economics and Modern Languages (GEML) and International Affairs and Modern Languages (IAML). We also offer graduate programs: an M.S. in Global Media and Cultures (jointly with the School of Literature, Media and Communication) and an M.S. in Applied Languages and Intercultural Studies. The school is home to approximately 60 full-time and part-time faculty members. The Ivan Allen College of Liberal Arts is recognized nationally and internationally for teaching and research examining the human and social context of engineering, business, science, and technology.

Job Summary


Provide specialized administrative services within a campus unit to include organizing and preparing correspondence, reports and other documentation; event management; records management, and related administrative activities. Typically provides work guidance to lower level administrative personnel with the unit. This position will interact on a consistent basis with: unit management and staff, vendors and office visitors.

This position typically will advise and counsel: Administrative Staff

Responsibilities

  • Originate and process correspondence, reports and other documentation.
  • Compile, organize and analyze data for use in reports.
  • Plan meetings and other events to include scheduling, reservations, arrangements, etc.
  • Make travel arrangements for unit staff management and staff as directed.
  • Maintain office supplies inventory.
  • Develop and maintain databases and records management systems.
  • Review and resolve routine administrative related questions and issues; provides input regarding new or revised unit administrative procedures.
  • Provide training and ongoing work guidance to administrative staff members as required.
  • Perform other duties as assigned

Required Qualifications


Educational Requirements
High school diploma, GED Certificate or Vocational School Diploma

Required Experience
Three to four years of job related experience

Preferred Qualifications

  • Bachelor's Degree

  • Experience supporting multiple faculty in a fast-paced and complex higher education setting, including great attention to detail; excellent organization and communication skills; excellent customer service; and demonstrated capacity to work independently on assigned projects. Excellent interpersonal skills with the ability to work well in a team environment are required. Strong computer skills, including web based applications.

Proposed Salary


$18 - $22 per hour

SKILLS
This job requires advanced skills in general office administration to include document processing and management, records management, event management, problem solving and office organization. Skill in use of advanced office related computer applications is required.

Other Information

  • Answer phone calls, student and visitor walk-in traffic, and overseeing incoming and outgoing mail and deliveries.
  • Serve as a pro-active front-line faculty support person — answering queries, fielding requests, assessing needs and next steps. The Admin Prof III position is go-to, first-stop person of inquiry for faculty. In this capacity, the person would be at the front-line for the myriad daily questions from people who do the core work of the School.
  • Administrative coordination of building management, maintenance, and facilities organization. That means ongoing attention to the status of the buildings as a whole — safety, compliance, monitoring of common areas, storage units, assessing that all aspects of our facilities are kept neat and organized, the optimal usage of facilities, managing coordination with IAC and Institute Facilities & Services, surplus, and coordinating renovation and staff move project.
  • Procure and maintain supplies.
  • Proactively assist the full-time staff members with administrative office support tasks that are critical to their positions, such as running and compiling reports, garnering data, compiling resources, etc.
  • Assist the School, faculty, and staff in the coordination and execution of meetings, conferences, special events, and hosting of visitors. Provide administrative support for the School’s speaker series, special guest lectures, or workshops/conferences. Including School calendar.
  • Assist with coordination and administrative aspects for faculty and staff searches.
