Cobb Galleria Centre is one of Atlanta’s premier conference facilities, conveniently located at the intersection of I-285 and I-75.

The Senior Event Coordinator is responsible for planning, organizing and controlling events within the Cobb Galleria Centre as assigned and shall monitor the logistical interfacing of these events, to include but not limited to: preparing banquet event orders and event resumes, preparing scaled drawings of event areas, coordination of equipment distribution, event billing, monitoring events assigned and such other functions and duties as required by the Event Services Manager. Position reports to the Event Services Manager.

Typical Work Routine Includes But Not Limited To:

Work with clients to coordinate the successful execution of contracted events.

  • Review event details with sales upon assignment of events
  • Contact clients to make introductions and begin coordination of event details
  • Determine event requirements based on client information, and research on previously held client events
  • Communicate and verify client understanding and acknowledgement of company guidelines and policies
  • Recommend additional services, supplies, equipment, and logistical and operational enhancements
  • Participate in conference calls, site visits, client meetings, planning and pre- and post-event meetings with clients and staff
  • Function as liaison between clients and staff to facilitate service delivery
  • Provide on-site customer assistance to clients during all aspects of their event, to insure superior delivery of services.
  • Handle most of the VIP events such as galas and high profile events.

Coordinate event details and specifications with internal staff, business partners, show managers, and other service providers. * Prepare detailed event outlines, food and beverage requirements, event resumes, room diagrams, floor plans, and other instructive documents with clear, concise and accurate event information

  • Communicate and coordinate event specifics with all applicable departments, staff, service contractors, and business partners
  • Maintain positive working relationships with internal staff to insure smooth delivery of event requirements
  • Monitor equipment distributions, including drapes, tables, chairs, staging, , etc.-to ensure accurate inventory levels for events and activities
  • Maintain detailed, organized files and records of assigned events and activities
  • Adhere to company standards for recording data and information utilizing company software, hardware, property management and information systems.

Will assume the duties and responsibilities of Event Services Management in their absence. * Lead and direct weekly event services staff meeting.

  • Co-chair the weekly operational staff meeting by reporting on past week's activities as well as reviewing the upcoming ten day schedule.
  • Attend department managers' meeting following operations meeting.
  • Review and revise the two-week schedule to ensure the accuracy of scheduled events and distribute in a timely manner.

Take a lead role in the training of new Event Service employees. * Participate in new hire orientation, demonstrating roles, duties, and procedures

  • Provide guidance and direction for use of event related software
  • Recommend training opportunities for new staff.

Minimum Qualifications: * College degree preferred with emphasis in hospitality management preferred.

  • Direct employment in an operational position in a hotel, convention center, or similar facility.
  • Professional written and verbal communication skills with correct grammar and pronunciations
  • Computer literacy and experience with MS Office Suite.
  • Minimum three years Event Coordinator experience specifically in large trade shows and exhibit halls.
