Overview:
FleishmanHillard is seeking an enthusiastic administrative coordinator to join our Atlanta office. This position requires a motivated self-starter who can work in a fast-paced, collaborative environment. The administrative coordinator will provide the majority of administrative support for our Atlanta-based team and coordinate with other agency administrators for shared spaces.

Responsibilities:
  • Support the Atlanta office General Manager with administrative capacities relevant to running a smooth employee work experience.
  • Work with Talent Development (HR) to manage new, existing, and departing employee logistics, orientations, and paperwork to create positive experiences and accurate data entry
  • Support Atlanta and visiting team members to execute internal meetings, recognition activities, and events to support team- and culture-building
  • Make travel arrangements and prepare expense reports for senior staff
  • Coordinate team and client meetings and support new business efforts, including preparation of handouts as needed (proofreading, photocopying, and distribution).
  • Support team members in a proactive, organized, and thoughtful manner.
  • Interface with staff at all levels helping to resolve inquiries as they arise.
  • Manage various projects and multiple calendars.
  • Handle confidential information and challenging situations respectfully and discreetly.
  • Perform administrative duties as requested including, coordinating mailings, ordering products and services, maintaining client files, and running business errands.
  • Provide backup to other team administrators when necessary.
  • Have flexibility to work occasional overtime.
Qualifications:
  • Positive attitude and friendliness
  • Energetic, self-starter and resourceful problem solver – gets things moving and keeps them on track. High attention to detail, with the ability to manage multiple ongoing activities.
  • 3+ years of administrative experience, with outstanding prioritization, communication, and organizational skills.
  • Previous experience making travel arrangements.
  • Experience proofreading work for accuracy.
  • Expert skill level in Microsoft Word, Excel, and PowerPoint. (Design and desktop publishing experience is a plus.)
  • Experience working with confidential material in a professional manner.
  • Ability to multi-task, meet deadlines and handle changing needs.
  • Ability to demonstrate a results-focused approach and commitment to going the extra mile for clients.
  • Good interpersonal skills, can work effectively in a team environment, negotiate diplomatically, and maintain composure and quality under constant deadline pressure.
