The UPS Capital (UPSC) Legal Project Supervisor is responsible for documenting business processes and managing small/medium projects to support the Legal function. He/She follows proper project management principles and analyzes existing processes to establish current project status and develops recommended business process improvements. This position assists a project manager(s) in managing larger enterprise wide projects.
Responsibilities and Duties
Interacts with UPSC Business Managers to perform legal reviews and ensure necessary processes are in place for avoiding future legal issues
Assesses weaknesses in compliance structures and discusses best practices with Business Managers to determine areas of need and to drive improvements
Determines business processes with highest levels of legal concern to prioritize critical processes and performance metrics (e.g., deadlines, revisions, errors, etc.)
Manages project lifecycles, including project scope, resources, schedule, initiation, start-up/design, building, and deployment to see projects from beginning-to-end
Provides oversight and guidance to project teams and balances resource allocation and priorities
Develops project plans (i.e., detailed plan, milestones, and work breakdown structures) and assigns tasks to resources to ensure that the project will be completed on time and according to specifications
Designs and implements communication plans to ensure those affected by projects are informed and updated
Follows up with assigned resources formally (e.g., status meetings, etc.) and informally to continuously manage the productivity of the team, project timelines, and deliverables
Balances multiple projects and deployment schedules to meet stakeholder goals and expectations
Leads "kick-off" meetings, presents, and clarifies the scope, deliverables, and introduces tool(s) to high level managers, sponsors, and SMEs to initiate the process improvement effort
Interviews SMEs, gathers data and business needs, to identify areas for improvement
Tracks progress of process mapping projects, if needed, to identify improvements and provide further assistance and modifications
Gathers process and supporting documentation from various organizational sources to build a comprehensive process map library
Presents "to-be" process and transition plans to senior process project sponsors to obtain buy-in
Interacts with stakeholders to clarify project and business needs
Facilitates collaboration among stakeholders to achieve project goals and objectives
Establishes and maintains customer relationships to maximize products and services benefits
Prepares reports to provide timely stakeholder updates

Project Management: Includes the processes and activities needed to identify, define, combine, unify and coordinate the various processes and project management activities throughout the entire project lifecycle and appropriate to the type of project
Project Planning: Develops specific plans to accomplish project objectives; establishes project goals, milestones, and deadlines and identifies specific resource needs in order to meet business objectives; defines activities, the sequencing of the activities, and the development and control of the schedule throughout the entire project lifecycle and appropriate to the type of project
Project Communications Management: Develops and executes project communication management plans for basic projects of short duration requiring limited coordination and communication (e.g., less than 1 year, single business unit); typically supports initiatives with well-defined project communication needs and cross-functional roles/responsibilities throughout the project life cycle; dependent on functional SME’s to represent other areas of the business for communications planning, obtaining and managing communications within their areas; manages minimal organizational resistance to cross-functional communication demands; identify all people or organizations impacting the project; articulate ideas verbally and in written format to a broad range of individuals
Project Scope Management: Develops and executes project scope management plans for basic projects of short duration requiring limited coordination and scope (e.g., less than 1 year, single business unit); typically supports initiatives with well-defined project scope needs and cross-functional roles/responsibilities throughout the project life cycle; dependent on functional SME’s to represent other areas of the business for planning, obtaining and managing scope; manages minimal organizational resistance to cross-functional scope demands
Project Time Management: Develops and executes project time management plans for basic projects of short duration requiring limited coordination and time (e.g., less than 1 year, single business unit); typically supports initiatives with well-defined project time needs and cross-functional roles/responsibilities throughout the project life cycle; dependent on functional SME’s to represent other areas of the business for planning, obtaining and managing time; manages minimal organizational resistance to cross-functional time demands
Work Methods, Processes, Flows Analysis: Describes the general impact of requirements, problems, or inefficiencies on other parts of the operation or processes; conducts basic analyses and identifies issues impacting the accuracy of data analysis
Solicits and Gathers Information: Uses information gathering techniques such as asking open and closed-ended questions, probing for details, and interviewing to obtain information
Meeting Facilitation: Conducts effective meetings by remaining neutral, promoting open discussion, providing structure and process for engagement, advocating collaboration, cultivating shared responsibility, and building consensus and agreement; summarizes others’ contributions and deals constructively with arguments or conflicts
Experience maintaining multi-month projects, priorities, budgets, and schedules – Preferred
