The Kennedy Immigration Firm, LLC is an immigration law firm that is passionate about providing family immigration services as well as removal defense before the immigration courts to those in need of legal counsel. We are looking for a bilingual (English/Spanish) individual who can provide support for the administrative functions of a fast-paced law office. If hired, you will play a crucial role as the face and first point of contact for our organization. Applicant should take pride in their work, be passionate about helping the immigrant community, and have an interest in growth and advancement. This is a full-time position Monday-Friday 9:00AM to 5:00PM. Paid bi-weekly. Paid Vacation Days/Time Off after 6 months of employment. Paid Federal Holidays.
Responsibilities:
- Receive and screen visitors and telephone calls
- Schedule and arrange client meetings with attorneys and support staff as needed
- Respond to emails, voice messages, and text messages from clients in a timely manner
- Relay messages
- Provide information to potential and existing clients
- Log and docket consultations
- Respond to basic case status questions such as case updates, upcoming court dates, and account balances
- Follow up with clients for information, documents, and payments
- Receive payments, provide receipts
- Receive, sort, and scan incoming mail
- Prepare outgoing mail for packaging and sending
- Make copies, scan, and save documents as needed
- Determine need for office supplies and reorder as needed
Qualifications:
- English and Spanish language skills is required (speaking, reading, and writing)
- Knowledge of basic computer skills such as word processing, spreadsheets, printers, copiers, scanners, faxes, and appointment scheduling and call forwarding systems
- Proficient verbal and written communication skills, especially in dealing with clients
- Organization skills and attention to detail
- Time management skills and ability to multitask
- Punctuality and Reliability
- Strong work ethic and dedication to the position
- Ability to take and follow directions
- Ability to work effectively in a team-oriented environment
- Professional office-setting phone skills and prior customer service training is ideal
