We are seeking a retail Lease Administrator in Atlanta, GA. Our portfolio includes over 150 retail stores, plus distribution centers/warehouses/truck transfer lots, and several small shopping centers.
The ideal candidate will have experience working for both retail tenant(s) and landlord(s). We actively develop our properties (primarily owned/occasionally ground leased). We sometimes leases existing retail property as a tenant, and it also owns such properties that it leases as a landlord.
Responsible for ensuring all of the following functions are performed effectively and efficiently:
- Primary administrator for the leasing functions for the expanding and complex portfolio.
- Work collaboratively with the Real Estate, Legal, Operations, Retail Finance, and Property Management teams on a day-to-day and special project basis.
- Responsible for administration, coordination, and recordkeeping related to portfolio management.
- Prepare and deliver lease extensions, estoppels, termination letters and other legal notices.
- Track and maintain a filing system for all real estate documents, including closing documents for owned properties.
- Develop and maintain an efficient system to track lease-related critical dates (renewals, termination/cancellation, use clauses, and sales kick-outs).
- Maintain all electronic real estate legal files, including managing process of long-term conversion of Companys past real estate filing from paper files to electronic format.
- Supervise the preparation, routing for signature, distribution, follow-up, and tracking of real estate related legal documents, permits applications, and civil permitting fee check requests.
- Coordinate and track preparation/distribution/receipt of required Certificates of Insurance for client properties, as well as tracking Certificates of Insurance for tenants.
- Partner with interdepartmental teammates to interpret and explain lease terms for informed decision making.
- Supervise and track the collection of tenant improvement funds, and processing of estoppel and SNDA requests.
- Facilitate contract renegotiations with landlords on existing leases.
- Coordinate receipt/distribution of default letters, managing defaults with internal teammates through resolution.
- Serve as the primary Company legal administrative contact for landlords, tenants, and property owner associations, and manage the preparation of any requested reports for the portfolio.
- Manage review of all landlord NNN reconciliations for conformance to lease requirements. Implement and execute CAM, Tax and Insurance reconciliation and audit process.
Experience and Skills:
- Bachelor's degree required.
- 3+ years of experience in retail lease administration (experience with high-volume portfolios preferable).
