Principal Tasks
Connecting all the pieces and holding it all together at ADVA is our Corporate Services team. Our Corporate Services team is the backbone of our company. Supporting our people and culture, systems, finances, security, and facilities, our team ensures that ADVA runs smoothly day-to-day and that our work environment is safe and secure for our employees and our customers. Our HR Americas team is seeking a highly motivated and results-oriented HR professional possessing effective organizational and communication skills, and benefits and system knowledge and understanding to fill a role as HR Specialist (Benefits & System). Must have a strong background in several areas that enhance confidentiality, data integrity, and customer service and support. Responsibilities include but are not limited to:
  • Support with open enrollment prep and rollout
  • Assist HR Generalist as needed with benefits administration
  • Support employees with benefits issues/questions
  • Distributing 401k documents to Human Resources Team for filing
HRIS (Workday) and SharePoint Administration
  • Maintaining Data Integrity in HRIS
  • Assisting with updating and maintaining HRIS and SharePoint
  • Job description workflow through Workday
  • ADVA University in Workday
  • Processing resumes and closing out applications
Administrative Support
  • Maintaining employee files (hard and soft copy)
  • Scanning, renaming, and uploading documents to HRIS
  • Support with Audits and recordkeeping as required
  • Support in preparing for and coordinating Town Hall meetings as required
  • Support in preparing for and coordinating Breakfast meetings as required
  • Completing Verification of Employment requests and queries as required
  • Support HR programs
    • Anniversary Program (letters and gifts)
    • Spot Awards Program
    • CSR Program
    • GIB Program
    • ADVA University/Workday Learning
    • Management Training Program
    • Internship Program
New Hire & Termination Administration
  • Preparation of new hire packages
  • On-boarding
    • New Hire Orientations
    • Background checks
    • Process I-9/E-Verify
    • Prepare/draft new hire documents
      • New Hire Checklist and forms
      • Buddy Program (Emailing the employee who will be the buddy for the new hire)
    • Processing new hire paperwork
  • Off-boarding
    • Prepare/draft separation documents:
      • Separation Form/Checklist
      • Sending out Leaver Emails
  • Training course administration in Workday (all aspects)
  • Coordinate with trainers
  • Setting up materials needed for training courses
  • Creating expense reports as needed
  • Support HR Recruiting Specialists as needed with the following:
    • Job descriptions and updates
    • Job postings
    • Assist with updating and maintaining SharePoint
    • Workday tasks
Other Tasks
  • Help coordinate company parties and social events (holiday party, summer picnic, company sponsored team dinners/events, CSR, FUNtivities)
    • Tracking of events and budget planning
    • Photo albums
    • Execute events
    • Committee member meeting
    • Prepare postings for CSR page
  • Bulletin Board & Monthly newsletter postings:
    • Top Health
    • HR Communications Briefings
    • HR Employment Law
    • HR Specialist
  • Federal, state, and local (if the state requires local postings) labor law postings for respective states
  • Filing
  • Register for webinars and share lessons with the team
  • Download monthly birthday list and create labels, prepare b-day cards
  • Support front desk when Office Manager is out
Supplementary Tasks
  • Support HR team with other HR duties and tasks as required/requested by the team
  • Other duties as assigned by HR management team

  • A wide degree of creativity and latitude is required
  • Requires a high school diploma or its equivalent and 0-2 years of experience in the field or in a related area
  • At least 1 year of experience with Workday (HRIS)
  • Ability to maintain the integrity of the HR function with discretion at all times
  • Hands-on approach

Requirements & Work Environment
  • In-office position
  • Sitting, standing, and moving around

Physical Requirement, Working Conditions
  • Sitting and or standing for extended periods of time
  • Ability to work with computers, copiers, faxes, etc.
  • Operating office equipment
  • Ability to lift objects 35 lbs.
  • Minimal travel may be required
